Reserving and Cancelling a Meeting Room or Rep. Room...

... what are the guidelines in order to reserve a Rep. Room or Meeting Room in the University Center?

Rep. Rooms and Meeting Rooms located in the University Center can be reserved by internal as well as external organizers/companies as long as the event is in the interest of the JKU.

Rep. Rooms and Meeting Rooms can generally only be reserved once a day for an event. Therefore renting one of the rooms is subject to a full mandatory one day fee (regardless of whether or not the room is required all day).

Rep. Rooms and Meeting Rooms can only be reserved for Sundays or holidays by exception and require the express written permission by Operations Manager Mag. Alexander Freischlager.

Submit a room reservation request by phone, sending an e-mail to raumbewirtschaftung(/\t)jku.at, or in person to Event Management, Rm. 007 (connecting corridor).

Please complete a reservation form online when reserving a room for a general event (conference, meeting, presentation, etc.). You will receive a corresponding link per eMail after sending your request.

Processing reservation requests depends on each staff member’s workload however, in general reservations should be processed in one week.

The team at Event Management will do everything possible to best assist in organizing and managing your event.
We ask you allow for an appropropriate period of time to prepare for your event (assign personnel, plan, review technical requirements, etc.). We ask that one week before the scheduled event date to please send an e-mail to raumplanung(/\t)jku.at containing the following information:

... what is the cancellation policy?

Cancellation requests received within 30 days before the event date are not subject to a cancellation fee. If you must cancel the reservation after that, you will be subject to a cancellation fee.

Find cancellation fees in the following list or see the price sheet:

Cancellation Fees:

  • Up to 30 days before the event date – 20% of the room fee will be charged
  • Up to 14 days before the event date – 50% of the room fee will be charged
  • Up to 7 days before the event date – 80% of the room fee will be charged and
  • Up to 6 days before the event, the full amount of the room fee will be charged.

... where and how do I get access authorization to use JKU’s wireless internet services?

Please send an e-mail to raumplanung(/\t)jku.at and include the desired number of accounts as well as the type and date of your event. You will receive authorization via e-mail by an Event Management staff member on the day of your event.

Please note that you must submit your request in advance 7 working days before the event date!

... how and who do I need to contact to obtain guest exit tickets for the parking lot and how much does each ticket cost?

In general, you may park free on campus for 15 minutes for loading/unloading purposes. Please use the delivery access road.

If you need to park your vehicle for a longer period of time, please use the visitor parking lot.
If you wish to request one or more day tickets, please send an e-mail to Mag. Alexander Freischlager alexander.freischlager(/\t)jku.at to obtain exit tickets.

... who is responsible for catering and beverage service at campus events?

The campus Mensa, under the management of Mr Alexander Schedl, has sole privilege and claim to cater campus events.

Event Management is responsible for room set up, meaning arranging any cocktail tables, buffet tables, etc.
